We're proud to be assisting one of our top clientsâa boutique law firm specializing in family law in their search for a Director of Operations to lead firm-wide business operations and strategy execution from their Miami office.
ð¼ Position Overview
This is a true leadership role for a business-minded, results-driven professional who can oversee and optimize all non-legal aspects of the firm. You will serve as the key strategic partner to the Owner and COOâensuring smooth operations, setting performance expectations, and aligning systems with growth goals.
ð¯ Key Responsibilities Include:
ð§ Operations & Systems Management
• Create, implement, and continuously improve operational systems and internal processes.
• Document and enforce all firm policies, workflows, and training materials.
• Collaborate with leadership to define and track Key Performance Indicators (KPIs) across departments.
• Oversee and enhance firm-wide technology systems, from case management to communication tools.
• Work with vendors to ensure optimal IT infrastructure, system security, and functionality.
• Coordinate facilities and office management: maintenance, safety, equipment, and vendor relationships.
ð¥ Human Resources Leadership
• Recruit, hire, train, and evaluate all non-legal staff.
• Conduct performance reviews and provide ongoing coaching and feedback.
• Develop clear job descriptions and role expectations.
• Partner with department leads on workforce planning and future talent needs.
• Enforce personnel policies and promote a culture of accountability, respect, and high performance.
ð° Financial Oversight
• Monitor financial health through budget management, forecasting, and expense control.
• Liaise with bookkeeping and accounting vendors to ensure accurate and timely reporting.
• Optimize billing systems and ensure completed work is invoiced in a client-friendly, timely manner.
• Identify areas for financial efficiency and revenue growth through reporting and analysis.
ð Marketing & Business Development
• Collaborate with the Owner on the firm's marketing and business development plans.
• Lead client retention and relationship-building initiatives.
• Oversee marketing and intake teams, ensuring execution and alignment with firm goals (until a dedicated Director of Marketing is hired).
• Ensure lead conversion KPIs and referral programs are tracked and met.
