Job Description
A high-profile executive couple is looking for a discreet, detail-oriented, and highly organized Personal Assistant to provide comprehensive administrative support in personal and household management. The ideal candidate thrives in a dynamic environment, anticipates needs before they arise, manages complex schedules and responsibilities with ease, and has excellent communication skills.
Responsibilities:
• Proactively manage and coordinate complex calendars for both professional and personal engagements
• Schedule and confirm meetings, appointments, travel, and events
• Act as gatekeeper and liaison with internal staff, vendors, and external contacts
• Prepare briefing materials, itineraries, and agendas in advance of meetings and travel
• Handle confidential and time-sensitive information with discretion
• Assist with school pick-up/drop-off and light childcare for school-aged children
• Handle a variety of personal administrative and household management tasks
• Coordinate household staff, service providers, and maintenance schedules
• Assist with personal errands, shopping, and gift purchases
• Assist with event planning and execution for social gatherings, dinners, and travel
• Manage inventory and supplies for household and office needs
• Arrange domestic and international travel, accommodations, and transportation
• Create detailed travel itineraries and manage changes in real time
• Ensure seamless transitions between personal and professional obligations during travel
• Track and reconcile both personal and business-related expenses, maintain accurate records, and assist with preparing detailed monthly expense reports
• Anticipate needs and ensure seamless daily operations
Qualifications
• Minimum 5+ years' experience supporting a high-level executive or private household
• Excellent organizational skills with strong attention to detail
• Discreet and professional demeanor; proven ability to handle sensitive information
• Strong written and verbal communication skills
• Fluent in English (spoken and written)
• Tech-savvy; proficiency in Microsoft Office, Google Workspace, and calendar apps
• Must have flexibility to respond to travel or scheduling complications at any time, including evenings and weekends
• Willingness and ability to travel with the family on occasion, providing on-the-ground support as needed (additional compensation provided)
• Must reside within 30 minutes of zip code 33140
• Valid driver's license and reliable transportation required
• Bachelor's degree preferred but not required
